The CEO of a longstanding, respected, and growing hospitality company is seeking a highly proactive, tech-savvy Executive Assistant to manage his full schedule and handle the coordination of his business activities. This is a hands-on, collaborative role supporting a dynamic executive who provides high-touch service directly to his clients, including daily field visits. The ideal candidate will consistently anticipate needs, balance competing priorities, and ensure that nothing is overlooked. Exceptional organizational skills, responsiveness, and resourcefulness are essential. You should be attuned to upcoming tasks, remind the CEO of his commitments each morning and throughout the day, and advance projects without needing constant supervision. Strong communication skills, diplomacy, excellent follow-through, and a commitment to building a long-term professional partnership are crucial. Requirements: - 4+ years of experience supporting a founder, CEO, or senior executive in a fast-paced environment. - Outstanding organizational and project management abilities. - Advanced proficiency with Microsoft Outlook, calendars, email management, and productivity tools. - Strong technological aptitude and the ability to quickly adapt to new platforms and systems. - Excellent written and verbal communication skills. - Highly responsive during working hours and comfortable operating in real-time environments. - Proven track record of managing multiple priorities simultaneously without overlooking details. - Strong follow-up skills and commitment to resolving outstanding tasks. - Professional, confident, and accustomed to working with a direct communication style. - Demonstrated longevity and stability in previous roles. Responsibilities: - Oversee and manage the CEO's calendar, encompassing client visits, internal meetings, travel, and prioritization. - Prepare the CEO's daily and long-term agendas, reminders, meeting materials, and key priorities. - Manage follow-ups from client visits and ensure commitments are communicated, assigned, and completed. - Monitor sample requests from initiation through delivery, providing ongoing status updates. - Maintain an overview of all active projects, deadlines, and commitments. - Address and surface any issues, delays, or potential conflicts before they escalate. - Serve as a communication link between the CEO and internal teams. - Prioritize incoming requests and help the CEO focus on the highest-value activities. - Coordinate travel arrangements and logistics as required. - Draft correspondence, schedule meetings, and support the daily operations of the executive. - Develop systems and processes to enhance efficiency, communication, and accountability within the organization. - Uphold strong professionalism in client-facing interactions and support efforts to manage key relationships. Work Hours: Monday to Friday, 8 am–5 pm. Compensation: $90K–$120K per year (based on experience), including health benefits and a 401(k).
