Retail Marketing & Activation Virtual Assistant
Overview
We are seeking a highly organized and execution-focused Virtual Assistant to support retail marketing and activation initiatives within the US market.
This role sits at the intersection of project coordination, retail operations, and marketing execution, supporting supplier relationships, retail placements, and internal project delivery.
The ideal candidate has hands-on experience in retail (especially US FMCG/FDMC environments) and can confidently manage multiple moving parts while ensuring projects are executed accurately and on time.
Key Responsibilities
Retail Marketing & Activation Execution

Support the creation and execution of retail marketing presentations (Google Slides / PowerPoint)

Work from templates to build polished, client-ready decks
-
Coordinate with internal design teams to gather and implement visual assets

Assist in preparing materials for retail buyers and partners
Retail & Supplier Coordination

Communicate with suppliers, brokers, and retail buyers
-
Assist in coordinating retail placements (e.g. in-store displays, secondary placements)
-
Support execution of retail activations such as display setups (e.g. corrugated box displays)
-
Ensure all deliverables are completed on time and aligned with expectations
Project Management & Execution

Manage multiple projects simultaneously across different retail channels
-
Track progress, follow up with stakeholders, and ensure deadlines are met
-
Act as a central point of coordination between internal teams and external partners
-
“Own” execution — not just assist, but drive tasks forward
Data & Reporting Support

Work within Excel to update forecasts and track project-related data
-
Maintain accuracy across documents and reporting tools

Support general operational tracking and updates
Requirements
Must-Have

Experience in retail (VERY IMPORTANT — ideally US market exposure)

Understanding of FDMC (Food, Drug, Mass, Club) retail channels

Strong PowerPoint / Google Slides skills (presentation building)

Solid Excel skills (comfortable navigating and updating data)

Strong communication skills (supplier + stakeholder interaction)

Highly organized and execution-driven

Experience working with major US retailers (Walmart, Target, Costco, etc.)
